Terms of Service

The agreement between you and Docman — plans, payments, retention, and responsibilities. Last updated July 10, 2026.

1. The agreement

These Terms of Service govern the use of Docman (docman.online), a document delivery platform operated from the Netherlands. By creating an account or using a Docman portal you agree to these terms and to our Acceptable Use Policy, which is part of this agreement. If you use Docman on behalf of a business, you confirm you are authorized to bind that business.

2. The service

Docman lets account holders upload deliverables to client projects, set a price, and release the files to their client once payment is completed. Files are stored in Docman’s own private infrastructure — never linked out to third-party storage — and every download is authenticated, authorized, and logged. We provide the delivery rails; the deliverables, prices, and client relationships are yours.

3. Accounts and access

You are responsible for keeping your sign-in credentials confidential and for everything that happens under your account. Clients access their portal through single-use sign-in links sent to the email address you invited; keeping those addresses accurate is your responsibility. We may suspend access to protect the platform or other users, and will tell you why unless the law prevents it.

4. Plans, billing, and quotas

  • Subscriptions (Basic, Pro) are billed through Stripe and renew automatically until cancelled; you can manage or cancel your subscription at any time from your settings, effective at the end of the billing period
  • The Free plan is limited to 10 projects for the lifetime of the account
  • Storage quotas per plan: 5 GB (Free), 50 GB (Basic), 200 GB (Pro); uploads beyond the quota are declined
  • Fair-use creation limits apply to protect the platform from abuse
  • Prices may change; existing subscribers are informed at least 30 days before a change affects them

5. Client payments and payouts

Payments from your clients are processed by Stripe and paid out to your connected Stripe account. Docman charges no platform fee on these transactions — you keep 100% of what you bill; Stripe’s own processing fees apply as per your Stripe agreement. You are the seller in the transaction with your client: invoicing requirements, VAT, refunds, and the quality of the delivered work are between you and your client. Docman generates invoice documents as a convenience, based on the details you provide.

6. Your content

You keep all rights to the files you upload. You grant Docman the limited license needed to store, process, and deliver them to the clients you designate — nothing more. You are responsible for having the rights to everything you deliver. We do not access the contents of your files except to investigate an abuse report or comply with a legal obligation.

7. File retention and deletion

Docman is a delivery service, not an archive. Delivered files are automatically and permanently deleted after your plan’s retention window — 14 days (Free), 30 days (Basic), or 90 days (Pro) after the client’s last download, or after upload if never downloaded. A deletion record is kept as proof. Keep your own originals: deleted files cannot be recovered.

8. Availability and support

We aim for high availability but provide Docman "as is", without a guaranteed uptime level. Planned maintenance and incidents are handled with care for in-flight deliveries and payments. Support is available at mail@docman.online.

9. Liability

To the extent permitted by law, Docman’s total liability under this agreement is limited to the subscription fees you paid us in the 12 months before the event giving rise to the claim. We are not liable for indirect damages, lost profits, or the loss of files you failed to keep originals of after the documented retention window. Nothing in these terms limits liability for intent or gross negligence.

10. Termination

You can stop using Docman and close your account at any time. We may terminate accounts that violate these terms or the Acceptable Use Policy, following the enforcement approach described there. On closure, remaining files are deleted and your data is removed in line with our Privacy Policy; invoices and payment records are retained as required by law.

11. Changes and governing law

We may update these terms as the product evolves; material changes are announced to account holders by email at least 30 days in advance. These terms are governed by Dutch law, and disputes are submitted to the competent court in the Netherlands, without prejudice to mandatory consumer protections in your country of residence.
