Acceptable Use Policy

The rules that keep Docman safe — what you may deliver through your portal, what is not allowed, and how to report abuse.

1. What this policy covers

This Acceptable Use Policy applies to everyone who uses Docman — account holders who deliver files through their portal, and the clients who receive them. By creating an account or using a Docman portal you agree to this policy. It exists to keep the platform safe for the people you deliver to, and to protect Docman as a service.

2. Permitted use

Docman is built for delivering your own work to your own clients: documents, designs, media, and other deliverables you have the right to share, stored securely in Docman’s own infrastructure and released through your portal.

3. Prohibited content and conduct

  • Uploading or distributing content that is illegal under EU law or the law of your jurisdiction
  • Distributing content that infringes copyright, trademarks, or other intellectual property rights
  • Uploading malware, ransomware, or any software designed to harm or gain unauthorized access
  • Using the portal for phishing, social engineering, or impersonating another person or business
  • Sending unsolicited bulk invitations or using the platform to spam recipients
  • Attempting to access other tenants’ data, probe the platform’s security, or circumvent access controls

4. Enforcement

We may remove or disable access to content, suspend or terminate accounts, and where required report unlawful activity to the competent authorities. Action is proportionate to the violation: a first accidental infringement is handled differently from deliberate abuse.

5. Reporting abuse

If you believe content delivered through a Docman portal violates this policy or the law, report it to abuse@docman.online. Include the portal or document link, a description of the issue, and your contact details. We review every notice and act expeditiously to remove or disable access to illegal content, in line with our obligations under the EU Digital Services Act.

6. Copyright complaints

Rights holders can submit copyright infringement notices to abuse@docman.online. Include identification of the copyrighted work, the location of the infringing material, and a statement of good-faith belief that the use is unauthorized. We honor valid notices under both the EU notice-and-action framework and the US DMCA, and we offer the uploader an opportunity to respond.

7. Changes to this policy

We may update this policy as the product and the legal landscape evolve. Material changes are announced to account holders by email. Continued use of Docman after a change takes effect constitutes acceptance.
